Start with arrival information
Include the first event, venue address, any shuttle pickup and a useful contact method. If guests arrive across several days, label each date clearly. Avoid making someone scan a long story before they can find where dinner starts.
Add a small local edit
Choose a few genuinely useful recommendations near the hotel: coffee, breakfast, a walk and something to do between events. Note which plans are hosted and which are optional. Link to current opening hours instead of printing details that may change.

Match the paper to the bag
Check the finished fold against the bag dimensions. Keep the cover readable when the paper is partly visible. Give hotels or helpers a simple distribution list, and retain a few extra copies for guests who arrive late or stay elsewhere.
Make the digital backup obvious
Print a short website address alongside any QR code for current updates. A paper guide and a live website solve different problems: one is easy to browse at arrival; the other can hold last-minute changes.
